We are currently searching for a qualified Accounting & Payroll Specialist. This position will report to the Controller, and work closely with engineering staff and management throughout the firm. Those applying for this position should have exceptionally strong organizational skills and be comfortable working in a high volume, dynamic environment. We’re looking for someone who is able to take ownership of their job responsibilities, and get their work done both quickly and with a high level of accuracy.
Your day will be fast-paced and full of variety:
Accounting Responsibilities
- Manage our full-circle billing cycle for 275+ projects electronically each month
- Maintain, run and file Accounts Payable, including processing employee expense reports
- Prepare cash receipts for deposits daily
- Reconcile credit card statements monthly, and monitor charges throughout month
- Prepare various weekly and monthly reports, including Cash Monitor and AR aging reports
- Assist with sending out client statements and conducting AR collections efforts as needed
- Prepare annual 1099’s and work with Controller to coordinate completion of other year-end tasks
- Prepare annual Sales and Use Tax filings
- Reconcile and replenish petty cash
- Assist staff with creation of project reports in accounting software (Deltek)
- Monitor/respond to accounting email inbox requests throughout the day
Payroll Responsibilities
- Process bi-weekly, inhouse payroll; deposit taxes and 401k deferrals
- Prepare quarterly and annual State and Federal payroll filings
- Review weekly timesheets of ~40 Employees for compliance with State and Federal labor laws
- Reconcile benefits deductions/expenses each month
- Prepare quarterly 401(k) contribution calculation
- Assist with preparation of annual W-2’s
Qualifications and Requirements
- Previous experience in accounting and payroll, ideally in an engineering, professional service, or other dynamic company environment
- High degree of accuracy and exceptional attention to detail
- AA degree in Accounting or equivalent experience
- Payroll processing experience; knowledge of payroll taxes and laws
- Previous experience with complex accounting software such as Deltek Vision, Sage, etc.
- Moderate to advanced computer skills using Excel; Good knowledge of other Microsoft Office programs (Word, PowerPoint, Outlook)
- Ability to problem solve effectively and multi-task efficiently
