Accounting and Payroll Specialist

We are currently searching for a qualified Accounting & Payroll Specialist. This position will report to the Controller, and work closely with engineering staff and management throughout the firm. Those applying for this position should have exceptionally strong organizational skills and attention to detail, and be comfortable working in a high‐volume, dynamic environment. We’re looking for someone who is able to take ownership of their job responsibilities, and get their work done both quickly and with a high level of accuracy.


The Accounting & Payroll Specialist Position:
Your day will be fast‐paced and full of variety.


Accounting Responsibilities

  • Manage our full‐circle billing cycle for 275+ projects electronically each month
  • Maintain, run and file Accounts Payable, including processing employee expense reports
  • Prepare cash receipts for deposits daily
  • Reconcile credit card statements monthly, and monitor charges throughout month
  • Prepare various weekly and monthly reports, including Cash Monitor and AR agingreports
  • Assist with sending out client statements and conducting AR collections efforts monthly
  • Prepare annual 1099’s and work with Controller to coordinate completion of other yearend tasks
  • Prepare annual Sales and Use Tax filings
  • Reconcile and replenish petty cash
  • Assist staff with creation of project reports in accounting software (Deltek)
  • Monitor/respond to accounting email inbox requests throughout the day


Payroll Responsibilities

  • Process bi‐weekly, in‐house payroll; deposit taxes and 401k deferrals
  • Prepare quarterly and annual State and Federal payroll filings
  • Review weekly timesheets of ~40 Employees for compliance with State and Federal labor laws
  • Reconcile benefits deductions/expenses each month
  • Prepare quarterly 401(k) contribution calculation
  • Assist with preparation of annual W‐2’s


Qualifications and Requirements

  • Previous experience in accounting and payroll, ideally in an engineering, professional service, or other dynamic company environment
  • High degree of accuracy and exceptional attention to detail
  • AA degree in Accounting or equivalent experience
  • Payroll processing experience; knowledge of payroll taxes and laws
  • Previous experience with complex accounting software (Deltek Vision strongly preferred but not required)
  • Moderate to advanced computer skills using Excel; Good knowledge of other Microsoft Office programs (Word, PowerPoint, Outlook)
  • Ability to problem solve effectively and multi‐task efficiently

The Job

Summit Engineering, Inc. is a multi-disciplined design engineering firm located in the heart of beautiful Sonoma County (Santa Rosa, CA.)  Our Civil, Wastewater, Structural and Electrical/Lighting and Planning Divisions provide consulting engineering services for winery, brewery, high end residential, resort, and other commercial projects. Our Civil Engineering division is currently are recruiting for Project Engineer with strong technical skills and site development experience. 

This Civil Project Engineer is responsible for preparing all aspects of a construction document package and capable of independently making design decisions. The Project Engineer prepares engineering analysis, design, and calculation. They work with dynamic design teams including landscape architects, land use planners, attorneys, owners, winemakers, and facility managers. Proficiency in AutoCAD and Civil 3D is critical.  Areas of design work include sustainable site design, stormwater mitigation measures, grading, utility layout, pavement design, roadway geometry as well as hydraulic, hydrologic and earthwork calculations.

 

Requirements

  • BS Degree in Civil Engineering or equivalent.
  • 4-8 years engineering experience showing progressively increasing responsibility.
  • California P.E. (or in process of obtaining with a completed EIT).
  • Technical expertise in site development, grading, drainage and utilities.
  • Experience using AutoCAD and Civil 3D.  The candidate should be skilled with the capabilities and operations of Civil 3D for

Summit’s Electrical/Lighting division provides consulting engineering services for winery, brewery, high end residential, resort, commercial office, and other clients.

  • Collaborate with architects and clients on the design of the lighting and power distribution aspects of building projects such as wineries, commercial, health care, and high end residential.
  • Create design and specifications of the following (but not limited to) systems: power distribution, emergency power systems, alternate power energy systems (PV, battery storage), lighting design, lighting controls, and low voltage signal systems (telecom/AV/security systems/fire alarm).
  • Coordination with power and telecom utility companies.
  • Prepare electrical construction documents and technical specifications.
  • Perform construction phase assistance including site visits and field reports. Respond to requests for information (RFI’s) and review equipment submittals and shop drawings.

Skills/Qualifications

  • Experienced in the design of electrical and lighting systems in the building types and market sectors similar to those we serve.

The Job

As a Project Engineer in our Structural Division, you will be responsible for executing engineering and design tasks with a high degree of independence, collaborating with staff engineers as needed to complete their work. Engineers in this position develop construction documents, calculations, specifications, and technical engineering reports.

The job requires an emphasis in low rise, high complexity buildings that involve common construction material such as steel, concrete, wood, and masonry, and uncommon materials such as aluminum, and stainless steel. Design and drafting using AutoCAD and Revit will be a responsibility of this position.

The selected applicant will gain experience in permitting within the North Coast and beyond. They will also have opportunities to take on increasing responsibility and independence commensurate with their abilities and initiative.

The Requirements

· B.S. Degree in Civil Engineering or Architectural Engineering with an emphasis in Structural.

· CA Professional Engineering license (P.E.).

· 3 to 5 years of experience showing successively increasing responsibility.

· Experience in the design of wood-framed, concrete and steel-framed structures, including commercial and high-end residential projects.

We operate on a 9/80 schedule allowing every other Friday off Employees also have the flexibility to work from home one day a week (after an initial 90 day orientation period).
